The Project

Aliments du Québec is a non-profit organization that promotes Québec agri-food products by verifying their local origin and showcasing local businesses. With more than 1,800 member companies, 1,000 institutions, 1,000 restaurants, and over 30,000 verified products, the organization plays a central role in Québec’s agri-food ecosystem.

As part of its digital transformation, Aliments du Québec wanted to replace its legacy portal, which had become difficult to maintain and enhance. The goal was to centralize data, automate several administrative processes, and provide a modern digital experience for the producers, processors, restaurateurs, and institutions that use the organization’s services every day.

Our Solution

Exolnet designed and developed a modern portal fully integrated with the Membri CRM, centralizing the management of memberships, verifications, and member data within a single platform. The portal enables producers, processors, restaurateurs, and institutions to manage their profiles, establishments, and recognition applications through self-service tools, while tracking the progress of their files in real time.

By automating several previously manual processes, integrating electronic signatures, and completely redesigning the user experience, the solution simplifies the membership process, improves data quality, and increases the operational efficiency of the Aliments du Québec teams.

Who is the portal for?

The portal was designed to meet the needs of several segments of Québec’s agri-food industry.

Processors and producers

Agri-food businesses use the portal to manage their brands, submit products for verification, and provide the documentation required to validate the origin of their ingredients. The platform also simplifies verification renewals and application tracking.

Restaurateurs

Independent restaurants and restaurant chains can submit their menus or dishes to earn the “Aliments du Québec au menu” recognition. They can also manage the public information about their establishments displayed on the Aliments du Québec website.

Institutions

Schools, hospitals, early childhood centres (CPEs), and other institutions use the portal to demonstrate their local sourcing efforts, report their food purchases, and obtain recognition for the menus or dishes they serve.

Reducing Administrative Tasks Through Automation

One of the project’s main objectives was to eliminate the many manual processes that slowed down application processing.

Automated Eligibility Validation

Companies can now confirm their eligibility before completing the membership process, avoiding unnecessary steps and reducing the need for staff intervention.

Integrated Electronic Signatures

The eZsign integration allows agreements to be signed directly online, eliminating document exchanges by email and reducing administrative handling.

Real-Time Application Tracking

Members can view the status of their applications from their dashboard, significantly reducing follow-up requests to the customer service team.

Self-Service User Management

Company and organization administrators can manage access permissions, roles, and team members themselves, without assistance from Aliments du Québec.

Application Tracking and Online Payments

The portal also allows members to make payments and renew their memberships online, view their billing history, and access administrative documents, all in one place.

Modernizing the User Experience

The previous portal had been developed several years earlier and no longer met modern user experience standards.

Exolnet completely redesigned the user experience to simplify every step of the journey. Forms were restructured into clear steps, interfaces were modernized, and information was organized according to the actual needs of different user groups.

The new portal guides members through each process with intuitive user flows, simplified navigation, and dashboards. Users can now quickly access important actions, easily find their information, and complete their applications more efficiently.

This redesign has increased user autonomy while reducing the workload of internal teams through standardized management processes.

The project relied on the integration of several key Québec-based platforms, including Groupe Vendere’s Membri and the eZsign electronic signature solution.

To ensure seamless synchronization between the systems, Exolnet worked closely with the various technology partners to design and enhance the application programming interfaces (APIs) required for the project. This collaboration made it possible to unify data, provide a single sign-on (SSO) experience, and centralize information into a single source of truth.

The resulting architecture now enables members and the Aliments du Québec team to work in a consistent, high-performing, and scalable environment while ensuring data integrity across the organization’s entire digital ecosystem.
